Update from the two meetings yesterday evening.

 

Large items, the bikes and wheel bags to the airport at 19:00 Tuesday.

 

Meet at the airport for ‘Team Book In’ at 12:30 Wednesday.

 

I have contacted GTM and he has no objection to using you own larger kit bags.

 

Still some confusion on JT phones, how I understand it, they can not be used phone to phone in Rhodes. Phoning home no problem. I include some numbers all C&W.

Travel

We have now confirmed our charter details. We are using Air Charter Services who have arranged the flights through Excel Airways.

Flight Times

Depart Jersey 27/06/07 15.00hrs – Flight XLA 768

Arrive Rhodes 21.00hrs (includes 1hr refuel in Italy)

Depart Rhodes 07/07/07 12.15 – Flight XLA 769

Arrive Jersey 14.15

(These times are approx)

Can we ensure that all team members are at the airport for 13.00hrs for check-in. It will be the responsibility of the Team Manager to ensure that all their team are present before presenting themselves to a member of the Executive who will check them in.

A meal will be served on the plane on both legs of the journey.

Please remember that any changes to personnel flying, for example cancellation of seats will incur full cost.

 

We must be advised ASAP of any competitors whose names on the entry list are different from the names on their passports as we need to provide a list of names to the airline and any difference will result in those competitors not being allowed to fly.

 

Baggage Allowance

15kg hold luggage (this has been reduced from 20kg)

5kg hand luggage – Remember only 1 piece of hand luggage per person.

 

Can you ensure that all team members have something on their bags that that they can identify as theirs. As you can appreciate it may be difficult locating 180+ identical bags. We are looking at using coloured tape to identify sports but individual competitors still need to be able to identify their own bags.

 

We will be met at Rhodes airport and transported to the hotel by coach.

 

 

Freight & Van Transport

The van will be available at the Geoff Reed Table tennis centre on Friday 22nd June from 13.00hrs to load kit. If you contact Bob it may be possible to load some items the night before. Please do not bring anything that has not been agreed in advance with Bob Blake. Everything should be in boxes, no loose items and nothing should be locked as customs along the way may want to inspect.

This has been a huge undertaking by Bob and Mick please do not put them in any sort of position by packing anything that should not be there.

The van will not return until 23.00hrs on the Tues 11th July, therefore unloading may take place the following morning. More information will be given on during the games.

 

Can you seriously consider everything that you would want to take as freight, if you can source it in Rhodes please do. We cannot take anything that is not considered essential for the games.

 

 

 

Accommodation

All the rooms have been allocated, although the hotel have contacted me today to enquire if anyone who is staying in a double would be prepared to stay in a triple for the nights of 27th – 30th as the hotel is fully booked for those nights. Obviously there would be a price reduction if anyone chose this option and it may be attractive to those who are on a budget. If you are interested can you let me know ASAP.

We have the hotel registration forms and this will handed out on the plane for you to complete, this will save time when we get to the hotel.

We will check-in everyone by sports, not individuals as this will relate to the accommodation list the hotel has been given.

When you get to the hotel please be patient when they are checking you in, remember they will be dealing with 180 people at a time.

Please ensure that you inform your team members that they will need international adapters in the hotel and need to bring them.

 

Tracksuits, Bags & T-Shirts

For reasons beyond our control this has not been the smoothest of operations. Apologies to any team member who has not yet received a tracksuit of their choice i.e one that fits. However the tracksuit committee are doing everything in their power to ensure that everyone does get a tracksuit, however at this moment we cannot guarantee that everyone will get the tracksuit of their choice.

The bags have arrived (hopefully by the time you read this you will have got them).

The T-Shirts have not arrived, hopefully Monday 25th June will be the arrival date, this is not ideal but we are very reliant on the suppliers. For those who are travelling before the 27th we will get T-Shirts, although they may not be printed Jersey.

Every team member will be issued with 6 pin badges and for those who would like more they will be available to buy from Gill Phillips in the team office.

 

Finance

The final balance is now due and will take into account any credit balances the sport has through fund raising.

 

Requests to GTM before team arrives

As the GTM will be in Rhodes before the team arrives if you have anything that you want checking out, especially in the hotel please let him know. It cannot be guaranteed that he will be able to visit all of the venues in that timescale but he will do his best to answer your queries.

 

Hire Cars

Although the organizers have stated that a comprehensive “shuttle bus” system will be in operation during the games it may be worthwhile considering a hire car(s) for your team. However it may be worth finding out from your sport co-ordinator if they are providing cars free of charge as we have just discovered that one sport is actually providing teams with free cars!.

If, when you get to Rhodes and decide that a car would be useful there is a plentiful supply from the hotel and Ixia.

 

Sports

The final sports guides are now all on the Rhodes 2007 website www.rhodes2007.info.

The draws have now been made for a number of sports and are all on the website. Finally more information is being added regularly.

Consult your sport information for details about the training schedule, meeting slots and most important the sport party!

There are also satellite maps for all the venues and hotels and more information is being placed on a regular basis. It is suggested that you visit the website on a regular basis to update your information.

 

Jersey Flags

Every team member will be issued with a Jersey flag (provided by Jersey Tourism) for the opening ceremony.

 

Website

The website is proving very successful. It is averaging 200+ hits per day. The gallery of the evening at the Merton has had over 500 downloads, we must a very vain group. Since the website went live it has had in excess of 3,000 hits.

Journalists are using the team manager profiles to write articles about various team managers.

We all need to encourage friends and family to visit the website as this will become a good marketing tool when you are talking to potential sponsors in the future.

Stuart has also posted a questionnaire for team managers and competitors to complete. It would be good if we can commit to fill these out as this will make the website “live”.

All newsletters and a FAQ section for competitors are on the website.

Stuart will also discuss with you the protocols for posting pictures on the website during the games. If you are intending taking photographs during the games and would like to see them on the World Wide Web Stuart will be available in the team office every evening to upload selected photographs onto the website, although it must be stressed that the final decision will be Stuart’s.

Stuart will be out and about in the hotel and during the games so please try to give him as much information as possible about what is happening in your sport so that we can make the website as “live” as possible.

 

Communication

The SIM cards have now been issued, please refer to the information sheet if you are concerned about anything. Ian Robins will be available in Rhodes if you are having any problems. Please remember you are responsible for any calls incoming and outgoing that are not on the list.

 

Medical

Adam Garnett (Team Doctor) has sent through via Gill Phillips information regarding a number of factors that we will face in Rhodes (Heat, water consumption etc), this is also now on the website.

There is a form to complete which will help us to allocate medical resources when they are most needed, especially in the early days of competition it is expected that demand will change as the games progress. Can you make sure you complete this and return to Martin Colley. This will be issued in Rhodes.

 

 

 

Fund Raising

The car raffle was a huge success and a big thank you to everyone who sold tickets. Your sport will be debited the amount of tickets you sold

 

Meeting Schedule in Rhodes

It is the intention that we hold a Team Managers meeting on Friday 30th or Saturday 1st depending on training schedules to clarify the procedure for the opening ceremony. We will also have a Team Managers meeting on Friday 6th to discuss the closing ceremony, closing night party and procedure for returning to Jersey. However we will have lots of unofficial meetings during the week where I will be available to chat with you and pass on any concerns at the GTM meeting.

There will be a GTM meeting every morning at 0800hrs at the main hotel in Kalithea, so if you any concerns that you would like raised let me know the day/night before.

 

Opening Ceremony & Dress Code

We have had very little detail about the opening ceremony but expect to receive more information when we get there and you will be kept informed at our meeting on the Friday 30th.

Just to confirm the dress code for all competitors: leaving Jersey, opening & closing ceremony and any medal ceremony. You must wear the following:

Tracksuit (top is suitable for medal ceremony)

White Trainers

Hat (opening ceremony & flight)

This is a contractual issue with Le Masurier and therefore must adhered to.

 

Team Get Together 7th June 2007

This was very successful and a good night was had by all. It was nice to see so many of our main team sponsors at the event and they were very impressed at the professional outlook of the team.

A games FAQ sheet will shortly be posted on the website this is designed to help you and your competitors with every possible question that you could be asked during the run up to the games.

 

Provision of water/Isotonic drinks in Rhodes

There is an opportunity through the football team’s main sponsor Cimandis to source cheaper water and Isotonic drinks than we could purchase in Rhodes. Gill Phillips has sent out a form for you to complete to give us an idea on the quantities we will need. The drinks will be available from the team office in the hotel, however you will be expected to pay up front for this water.

 

Cable & Wireless Photo Shoot

As part of the sponsorship opportunity C&W would like to do a photo shoot with all team managers. They would like as many team managers to bring along the “tools of their trade”. For example tennis will have a tennis racquet, cycling a bike, athletics a pair of running shoes etc etc. All we have to do is agree a date and a time.

Thank you for all your hard work and support over the last two years and it is difficult to believe that the 2007 games are nearly upon us.

  1. When do I get my tracksuit and kit?

Ans: The tracksuits and assorted kit will be handed out on a night yet to be decided but it will be before the 7th June Team Photograph.

  1. Do I have to go to the team get together?

Ans: Yes, this is an opportunity for you to meet all your fellow competitors, be part of the team photograph and an opportunity for us to thank all our sponsors.

  1. How do I find out who I am sharing with in the team hotel?

Ans: Talk to your team manager they should be able to tell you who you are sharing with.

  1. What time do we fly?

Ans: We will leave Jersey at 15.00hrs, but check with your team manager as this could change at short notice.

  1. How much luggage can I take?

Ans: You are allowed a maximum of 15kg luggage plus 1 piece of hand luggage

  1. That does not sound very much for 10 days in Rhodes will it be alright if I take bit more?

Ans: No, this is the maximum you will be allowed if you are over this amount you will have to leave it behind.

  1. What time do I have to be at the airport to check-in?

Ans: As you can appreciate it will take some time to check in 180+ competitors so you can expect to be at the airport by 13.00 hours.

  1. When do I get my ticket?

Ans: We do not expect to have tickets although this has not been confirmed. You will be just checked in by name. Check with your team manager what the actual checking in details will be.

  1. Can my family and friends come to the airport to see me off?

Ans: Yes it would be nice to encourage as many family and friends to see the team off.

  1. Do I have to wear my tracksuit to travel to Rhodes?

Ans: Yes all team members have to wear their Jersey Team tracksuits.

  1. Who are we flying with and what type of plane?

Ans: Excel airways, Boeing 757

  1. Will we have anything to eat on the plane?

Ans: Yes we will have a meal on the plane.

  1. What time do we get to Rhodes?

Ans: We will arrive in Rhodes at 21.00, this includes a 1 hour fuel stop in Italy. Again our arrival time will change if our departure time changes.

  1. Is there a time difference in Rhodes?

Ans: Yes Rhodes is 2 hours in front.

  1. How do we get from the airport to the hotel?

Ans: Coaches will meet us at the airport and take us to the hotel.

  1. How will I know which room I am in the hotel?

Ans: You will be allocated your room before you get to the hotel and will have filled out a check-in card before you arrive.

 

  1. What meals will I have in the hotel?

Ans: You are half board which means you get breakfast and an evening meal. You will have to purchase food at lunchtime.

  1. What about drinks?

Ans: You are responsible for all your own drinks, remember you are staying in a 5 star hotel so drinks will be at 5 star prices. It will be cheaper to purchase water and other drinks in Ixia.

  1. Can I put drinks on my room number?

Ans: Yes but it is your responsibility to pay for everything before you depart the hotel. The hotel will ask for your credit card when you check-in to guarantee payment.

  1. What is the legal age to purchase alcohol in Rhodes?

Ans: 18

  1. Can I wear what I like in the hotel?

Ans: Remember you are representing Jersey and the best way to show this is by wearing either the Team Jersey kit or your Sport kit.

There is a dress code in the hotel restaurant and males have to wear trousers not shorts, no bikini tops for the ladies.

Notes from yesterdays TM’s meeting & other info.

 

Contact.

I will be out of the Island 8th to the 17th June. Please contact Chris Spence (Team Captain) or Torty (JCA president) if any problems or questions.

 

Medical.

Team doctor, Dr Adam Garnet would like TM’s to have available the Social Security JY number for all team members. Please forward ASAP He suggests all should have immunization from Polio and Tetanus and possibly Hepatitis A. Contact your own doctor regarding you personal position. Dr Garnet will do the jabs at cost. General warnings about drinking water and food: should not be a problem in a 5* hotel but we need to be aware when out and about. Bottled water only. Warnings about Sun, high temperatures and hydration levels. If uncertain what precautions are needed just let me know and I will try to help you.

 

Mobile Numbers.

I have some already, but please check you will have a service in Rhodes and confirm your number to me. C&W (JIGA sponsor) are giving me a phone. I will let you have the number when I have it.

I am please to say the bikes will be on the aircraft with us. As far as I am aware it’s only our bikes, and the shooters guns and ammunition that will be on the plane. In reality there will be extra capacity on the flight out, the concerns are with the return on the smaller aircraft. The remaining equipment is going by van (at a cost of £5000) The van will have some extra capacity for the return leg and to insure nothing gets left at Rhodes airport I have been asked to inform you, some personal kit may need to come back by road. The van is leaving before the aircraft so the idea is to fill the van, to minimize the weight on the aircraft. Hope this makes sense?

Baggage allowance has been reduced to 15kg hold, and 5kg hand (one piece) This is the maximum. Please remember bike, wheels, packing material and bag weight should not exceed 30lbs, so there will not be much scope to put things in the bike bags. Chris, Sam and Richard will have to be partially careful as you will not have the same restrictions on your outward journey.

Please arrange between yourselves so we don’t all take track pumps. Sports drinks can probably be obtained in Rhodes, Chris is arriving Monday so he could check this out. Other than that I don’t have any weight saving ideas.

Tracksuits Team Building Evening.

Tracksuits should arrive in the island Tuesday and be available for collection at my place Wednesday evening. 13 Les Tuileries, St John. (Behind the old Melbourne Garage, now a building site)

 

Bike Preparation.

To insure no problems in Rhodes I would suggest new chain, cassette, cables and nearly new tyres. Maybe new bar tape for comfort.         

 

Money Exchange.

Thomson Lunn Poly have agreed that from 1st June until 27th June 07 they will guarantee to offer the best rate of exchange to Jersey Team Members

Any one wishing to take advantage of this should ask to speak to Michelle saying that they are members of the Jersey I G Team.

 

Hire Van.

I have asked Chris to arrange the hire of a van, so we don’t have to rely on the Rhodes organizers. Minimum requirement 6 persons and 5 bikes. I am anticipating that the JCA will pay for this.

Hot Room Training. Fort Regent Friday 11th 1945 to 2030, for all interested. The room is next to the gym. Also arrangements have been made to use facilities at Club Carrefour, there will be a charge for this. £25 / hour or £40 for two. Please contact Club Carrefour directly.

 

Transport of Equipment. It looks like the equipment will be with us on the outbound flight. You will need to bag the bike and wheels. I copy the finial equipment list with info that I sent in.

Hello Jeff. I have measured my bag which I think is about standard. It measures 36in x 45in x10 so you’re correct with your dimensions. I copy the details of our kit requirements that I sent to GR.We can pack one wheel set with the frame set in the bike bag/box, so we will have 10 pairs of wheels in separate wheel bags (They are only slightly bigger then the wheels)The track pumps, tools, helmets and bottles could be accommodated in with our personal luggage if necessary. Aprox weights: 20 x Wheel in bag 3 to 4 lbs each. 28 x Frame set with a pair of wheels and bag no more then 30 lbs each.If you need any more details please let me know.

Notes from TM meeting.

 

Travel Arrangements. Depart Jersey 27/06/07 1500 arrive Rhodes 2200 (1 hour stop in Italy) Depart Rhodes 07/07/07 1200 arrive Jersey 1400. (These times are given as approx) 

 

Transportation of Equipment. Aircraft types have changed. 757 out and 737 back. The operator is not prepared to take our equipment for fear of not being able to bring it back on the smaller aircraft. Currently arrangements are being made for road transport. I have suggested that we fly out with equipment, and drive down with empty vans. That way we can be certain of safe arrival, and have bikes available for use here.

    

Baggage Allowances. 20kg hold luggage (could be reduced to 15kg) 5kg hand luggage, 1 piece only. Please note all normal security restrictions / regulations will apply.

 

Course Details. Have been told details are available at www.rhodes2007.info (I can’t see anything new here) Contacted cycling coordinator last w/e but as expected nothing back from that end.

Under the JIGA training program we have been given 12th May at 1945. There is also the possibility of using facilities at Club Carrefour which should allow more flexibility. Would suggest arranging Wed and Fri evenings to still give the option of weekday racing.

Dear All.

Island Games Deputy General Team Manager Martin Colley has informed me he has seen course details including profiles on his resent visit to Rhodes. Suggest we continue to look at Rhodes games web site.

For riders I have not seen during the week there are some additional forms to complete which I will have with me at Sundays race. Also £100 still outstanding from some riders.

Notes from TM’s Meeting 28 March.

 

Travel: No changes to dates and times. We are more hopeful that our equipment will be able to travel with the team.

 

Numbers: 2551 competitors and 500 officials. Cycling 18 islands 245 competitors 31 officiasls.

 

Web: www.rhodes2007.info is being updated regularly.

 

Cycling: On police advice there will be no change to the Town Criterium. It will remain on the Sunday evening.

 

DGTM’s  visit: Deputy General Team Manager Martin Colley will be in Rhodes 31/3 – 4/4. I have asked him to obtain more details on courses including profiles.

 

Training Program: Although Cycling did not sign up to the training / nutritional program. We are welcome to join the nutritional program, collectively (no charge) or individually (with a charge)

 

Hot Room: There will be opportunities for training at temperatures up to 40C during May and June.

 

The JCA Island Games Team will be announced on the 12th April. After which I will ask for opinions on the last two items. The team will be required to attend the JIGA team building and photograph evening on the 7th June.

I will be arranging an evening for the team in the lead up to the games. Date to be decided.
